Applicants completing an applicant invite on their mobile device - with required documents needing to be signed - can download, print, and even take a photo of their signed document as part of the applicant invite process.
Let's take a look at the process of uploading a document with a mobile device.
Once the HR user places an applicant invite order that includes a product that requires a signed form to be completed, the applicant will access the link in the email invite.
Open and Print Document from Mobile Device
After the applicant signs the disclosures and authorizations, then enters all their screening information, they will be shown a screen that indicates the form that is needing to be signed - as well as providing the options for next steps:
Tapping on the title of the form will open the form in another tab on the mobile device. In the example above, the applicant would tap on the "PSP Disclosure and Authorization Form" listed. From here, the applicant can send the document to be printed on their local printer:
The applicant will then sign the hard copy of the document and get ready to upload it into the applicant invite process.
Upload Form with Signature Now
In order to upload the document that was printed and signed, the applicant will return to the first browser tab called "Additional Forms Required," select the radio button for "Upload Form with Signature Now," and tap the Upload button:
A modal window will be displayed with options for uploading the form that was just signed:
Tapping on the Choose File button opens additional options for the applicant:
Applicants can select a photo from the mobile device's library, take a new photo, or browse files existing on the mobile device. For this example, we will take a photo of the document:
Once Use Photo is selected, the applicant will be returned to the previous modal window where they can add more documents or finish the upload by tapping Upload:
The user will then be returned to the first screen and can see the document that was uploaded:
Files uploaded from a mobile device that are not in .pdf format (i.e. .jpg, .png, etc.), will be converted to .pdf after this step.
Applicant will tap Next and then Complete to finish the order and submit the documents that were uploaded.
In the final step, after completing the application, users can download the documents they uploaded, if needed, by tapping Show Additional Forms and then tapping on the name of the document (in green below):
Upload Form with Signature Later
Alternatively, if an applicant is unable to print and sign the document at the time they are completing the applicant invite screens, they can select the radio button for Upload Form with Signature Later and will be emailed reminders until the applicant adds the form to the file, until the HR user adds the form to the file, or until the applicant invite expires.
The link in the text message and email, for the applicant invite, will remain accessible until the invite expires or until the required form is added to the file.
