When placing an Applicant Invite, you are sending your candidate an Invitation to sign all necessary forms and provide the necessary personal information (via a secure online form) required for background screening services.
In this form we provide the necessary disclosure, gain authorization to run the screens, and collect any other data we need to run the screens you are requesting (such as the candidate's SSN and DOB).
Required Permissions to place an Applicant Invite Order: "Order Reports" and "View Reports"
Optional Permissions: "Order Reports for Other Users" and "View All Reports for Other Users"
"Applicant Invite" is the most appropriate order option when one of the following exists in your workflow:
- You do not yet have the necessary information to place a "Direct Order"
- You have not yet provided the appropriate disclosures to the candidate
- You do not have a signed Authorization form from the candidate
The Applicant Invite has the following features available:
- Brandable with your logo and primary color
- Delivered to the candidate via email and/or text message
- Configurable expiration date
- Ability for you to withdraw the invitation prior to candidate input
- Configurable email reminders to the applicant
- Candidate can refuse and unsubscribe from reminder emails
- Specific logic to determine what disclosures are given to the consumer
- Specific logic to determine what authorizations are collected from the consumer
To place an Applicant Invite Order, start by signing in to the Portal and clicking Order on the top-left.
To begin an Applicant Invite Order, we need to input the candidate's name, email, and job location.
After you've made your order selections, scroll to the bottom. Click "Send Invite" if you would like the candidate to complete the next steps. If you have the signed Disclosure and Authorization forms and you would like to order without further involving the candidate, see Placing a Direct Order.
After choosing "Send Invite", you have two options to choose from. If you would like the order to automatically begin once the candidate fills out the necessary invite, choose the "auto-ordered" option. If you would like to review the information provided by the candidate before manually ordering the report, choose the "manually order" option.
In the event you decide not to proceed with the order, you can archive the candidate's file.
Next, you'll need to decide how you're going to invite the candidate to complete next steps, either email or SMS/Text, or both. If you choose SMS/Text, you'll need to certify that you meet the legal requirements for sending candidates SMS/Text messages.
Click Next, review the necessary information, and Check the Box to Certify that you understand and are complying with legal requirements to running a background screen with Verified First in compliance with the Fair Credit Reporting Act.
Lastly, click "Send."
After sending the invite, you'll see a banner informing you that the order was placed successfully. You will be redirected to a report page with some basic information about your order. From here you can resend or withdraw the invite.
Depending on your selection, the candidate will then receive a link via email and/or a text message. Under your account settings, this link can be set to expire within a specific amount of days (default account setting is 14 days).
After opening the link via email or text, the candidate will be asked to acknowledge the disclosure(s) form(s) and sign the authorization form(s). After doing so, they'll be required to enter the necessary personal information. The final step is to review their information before completing their submission.
After the candidate fills out their invite, for automatic orders, we will immediately start processing the screens you asked for. If you asked to be notified when the candidate completes their invite, we will alert you via email so you can review and manually order.
